How to Message HR on WhatsApp About a Job: 7 Scripts That Get a Reply
The Short Answer
Send one short message that does four things: names you, names the exact role, says where you got the number, and asks permission to send your CV. Then wait about a working week, send one follow-up, and stop. Three or four sentences is the right length, because a WhatsApp message that needs scrolling gets skim-read and answered later, which means never. Lead with your name, since HR does not know who an unknown number is, and name the role precisely ("the backend developer opening") rather than asking whether there are "any openings", which puts the work of guessing what you want on the person you are asking. Attach nothing until they say yes: an unexpected 2 MB PDF from a stranger is the fastest way to be ignored. And check the channel is appropriate first, because a number published for recruitment is an invitation, and a number you found in a group chat is not.
First, Is WhatsApp the Right Channel?
This decides whether a good message gets a good answer or no answer at all, and it is worth thirty seconds of thought. WhatsApp is appropriate when:
- The company published the number for recruitment. A WhatsApp number in a job advert, on a careers page or in a hiring post is an invitation to use it.
- HR or the recruiter messaged you first, or gave you the number in a conversation. Reply on the channel they chose.
- Someone inside the company shared the contact and said to reach out. Say so in the first line, and name them.
- It is how business is done in your market. In much of India, the Gulf, Nigeria and South Africa, WhatsApp is the normal channel for recruitment conversations, including with small employers who do not run an applicant tracking system at all.
WhatsApp is the wrong channel when the number is a personal one you obtained without permission, when the company has given you a careers portal and nothing else, or when you are applying to a large multinational whose process is entirely automated. In those cases the message does not just fail, it marks you as someone who ignored the stated process. Use email or LinkedIn, and keep WhatsApp for the stage where a human has already answered you.
One more rule that costs nothing: send during working hours in the recipient's time zone. A job enquiry that arrives at 11:40 PM is read in the morning anyway, and only tells them something about you that you did not intend to say.
The Five Things Every Message Needs
Almost every unanswered job message on WhatsApp is missing one of these, and the fix is mechanical:
- Your name, in the first line. HR sees an unknown number. Until you are a name, you are a possible wrong number.
- The exact role. "The QA engineer role posted on LinkedIn on Monday" is answerable. "Any vacancies?" requires them to interview you to find out what you want.
- Where the number came from. One clause: "your number was on the job post", "Rahul in the design team suggested I message you". This is the difference between an applicant and a stranger.
- One line of why you. Years, domain, and the single most relevant fact. Not a career summary.
- A clear, small ask. "May I send my CV here?" or "Is the role still open?" One question that can be answered with one word is what gets a reply the same day.
What to leave out: your full employment history, salary expectations, a photograph of your degree certificate, and anything that reads as pressure. Also leave out the attachment. Asking first takes one extra exchange and makes the second message welcome rather than intrusive.
Seven Scripts, by Situation
Replace anything in square brackets, and delete any line that is not true. All seven are deliberately short.
1. Cold introduction, number published for recruitment
The second sentence is the one people skip, and it is the one that stops the message reading like a mass forward.
2. A specific opening you found
This is the highest-reply-rate script here, because every question it raises is already answered. Quote the job title exactly as the advert words it, including a reference number if there is one, since HR may be running six searches at once.
3. With a referral from inside the company
Name the referrer in the first line, because that is the only part that changes how the message is read. Offering the portal as an option shows you are not trying to skip the process.
4. The one follow-up after applying and hearing nothing
Note what this does not do: it does not ask for a decision, which they may not have, and it does not imply they are late. It asks whether the application arrived and whether anything is missing, both of which are answerable in five seconds.
5. Asking permission before sending the CV
Send the summary in the chat and the file as the attachment. HR often triages on the phone, where opening a PDF is the expensive action, and a one-line summary in the message lets them decide before they open anything. Name the file properly: a CV called final-resume-2.pdf among fifty others is a document nobody can find again.
6. Reconnecting months after a previous conversation
The last sentence is what makes this message land rather than nag. You are giving them an item for a list, not asking them to do anything today.
7. Replying to "we will keep your CV on file"
This turns a polite closure into a dated next step with permission attached, which is the only version of "keep in touch" that ever produces anything.
How Long to Wait, and How Many Times to Nudge
The question everyone gets wrong in both directions. Published recruiter guidance clusters tightly on one working week: StandOut CV's guide says you should not chase an application for at least one working week, because before that the recruiter most likely has not reviewed your CV yet, and Frontline Source Group's 2026 guide puts the window at roughly five to seven business days. Analyses of actual response times agree on the shape: Careery's 2026 write-up finds most interview-related replies land around the first week to ten days, which is exactly why a nudge on day two is noise and a nudge on day seven is useful. So, practically:
- After applying: wait five to seven working days, then send script 4. Once.
- After an interview: a thank-you the same day or the next, then wait for the date they gave you. If they gave none, one check-in a week after the interview.
- After that: stop. One nudge per stage is the whole budget. A second changes nothing except how you are remembered, and in a small market you will meet this person again.
- Silence after two messages is an answer. Spend the energy on the next application instead, which is the genuinely hard advice in this post.
The reason people break this rule is not impatience, it is memory. Day seven arrives while you are applying to four other things, and the nudge that would have worked gets sent on day nineteen, when it reads as desperate, or never.

Five Mistakes That Cost Replies
Collected from the way these messages usually arrive:
- Good morning sir, as a standalone message. Then nothing, waiting for permission to speak. It reads as a mass forward, and HR has to invest a reply before learning anything. Say everything in one message.
- The unannounced attachment. A PDF from an unknown number is at best ignored and at worst reported. Ask, then send.
- A voice note. It cannot be skimmed, searched or forwarded to a hiring manager, which are the three things your message needs to survive.
- No role named. "Any openings for freshers?" is a question only a search engine can answer. Pick the specific role and say why you fit it.
- Chasing more than once per stage. Three messages in a week converts a maybe into a no, and the person remembers the pattern long after they have forgotten your CV.
