How to Ask Your Landlord for Your Deposit Back on WhatsApp: 6 Scripts and the Day to Send Each
The Short Answer
A deposit message works when it is short, dated and specific, and it works best when you send the first one before there is anything to argue about. Name the property, the date you handed back the keys, the amount you paid, and the date you expect the money. Ask one question that can be answered in a sentence. Send the first message a day or two after you move out, and the real chase only once your local deadline has passed, quoting that deadline. Look it up before you write: in California a landlord has 21 calendar days after you give up possession to return the deposit or send an itemised statement, and a deposit protected in England and Wales must be returned within 10 days of you both agreeing the amount. Everything below is the same six messages in order, with the day each one should go out.
Look Up One Number Before You Write Anything
Almost everything that makes a deposit message effective comes from one fact: the date by which your landlord has to act. Without it you are asking a favour. With it you are noting a date. The wording barely changes, and the effect completely does.
Two examples, both re-checked for this post:
- California: 21 calendar days. Under Civil Code section 1950.5 a landlord has 21 days after the tenant gives up possession to return the deposit in full or send an itemised statement of deductions with whatever is left. The clock runs from when you actually hand back possession and keys, not from the date on the lease, and weekends and public holidays are inside the count. Receipts or invoices are generally required for charges over 125 dollars. Where a landlord keeps money in bad faith, a court can award up to twice the deposit on top of the refund. Sources: the CSULB Legal Resource Center tenant guide and Nolo, which agree on the 21 days, the itemisation and the penalty. One other summary we read claimed three times the deposit, which the others contradict, so treat the doubling as the figure to quote and the statute itself as the thing to check.
- England and Wales: 10 days after you agree the amount. A deposit taken on an assured tenancy (an assured shorthold tenancy if it began before 1 May 2026, when assured periodic tenancies replaced them) has to sit in a government-approved protection scheme, and GOV.UK's deposit protection guidance says the landlord has to pay it back within 10 days of the two of you agreeing how much comes back. The trigger is the agreement, not the end of the tenancy, which is why a landlord who simply goes quiet is not yet late in the way a Californian one is. If you disagree about deductions, the money stays protected in the scheme, and the scheme offers a free dispute service, which both of you have to agree to use; it is usually faster than court and costs nothing.
One caveat worth saying plainly: this is a post about messages, not legal advice, and deposit rules differ by country, by state and sometimes by city. Spend ten minutes finding your own number before you spend an hour writing.
The Five Things Every Deposit Message Carries
An agent may have handled forty move-outs since yours. Your display name tells them nothing, and a message they have to research is a message that waits.
- Who you are and which property. Full name, full address, flat or room number, and the word "former tenant" so nobody thinks this is a current repair.
- The date you handed back possession. This is the date the clock runs from in most rules, so it belongs in every message in the thread, not just the first one.
- The amount and when you paid it. Deposits get mis-recorded, especially where an agency changed hands mid-tenancy.
- A date you expect the money by. From the statutory rule if you have one, from the tenancy agreement if you do not.
- One question, answerable in a sentence. "What date will it reach me?" is a question. "Can you look into this?" is not.
What to leave out of the first message: the state of the oven, the carpet in the back bedroom, and anything else you are braced to argue about. Raising a defence before anyone has accused you of anything invites a deduction you might never have been charged.
Six Messages, in the Order You Will Need Them
Replace the brackets. Keep your name, the address and the handover date in the first line of every message, because these get forwarded to accounts departments who were not part of the conversation.
1. The week before you move out
This is the message that prevents the other five. Ask for a walkthrough and ask what they will be looking at, so anything that would become a deduction becomes a thing you can fix in an afternoon instead.
2. The day you hand the keys back
Send this the same day, with photographs. It is the cheapest insurance in the whole process: a dated set of pictures of an empty property, in a thread the other side also holds.
3. The check on the deadline day
Not a chase. A polite note that the date exists, sent on the day itself, which is often enough on its own.
4. The first real chase, three days after the deadline
Now the tone changes once, and only once. List the dates. Say what you will do next and when, without threatening anything you are not actually prepared to do.
5. Replying to a deduction you disagree with
Take the list line by line, accept anything that is fair, and ask for evidence on the rest. Accepting one item makes the ones you contest much harder to dismiss as a tenant arguing on principle.
6. The last message before you escalate
Short, dated, and the end of the conversational part. Do not send it until you mean it.
When It Stops Being a Chat
WhatsApp is the fastest way to reach a person and the worst place to leave your only record. Two practical things to do before the thread matters.
Export it. A chat can be exported as a dated text file with its media from the chat's own menu, and the right moment to do that is the day the first deadline passes, not the week you need it. Screenshots lose the thread; a forwarded message loses its date.
Repeat yourself in a slower medium. Once you reach message four, send the same text by email, and where the amount is large enough to matter, by post as well. This is not because the WhatsApp thread is worthless, it is because the other side's formal process almost certainly does not read WhatsApp, and because a demand sent to a named address is what a small claims process expects to see. The messages above are written so you can paste any of them straight into an email without changing a word.
Do not read anything into blue ticks. They can be switched off, and when they do appear they mean your message was read, not that anyone has acted on it.
The Part Everyone Forgets: The Date Itself
Deposits are rarely lost in a dispute. They are lost in a drift. You move, the new place absorbs every spare hour, the deadline passes unnoticed, and when you finally write it is five weeks late and the thread has gone cold. The whole job is remembering two dates: the deadline, and three days after it.
Decide both on handover day, while the folder of photos is still open, and hand them to something that will not forget.
If the money is going to need several chases, the repeating form is one sentence: remind me every Monday at 9am to chase the agent about the deposit, and cancel chase the agent about the deposit when it lands.
NagMeLater is a reminder service that lives in a WhatsApp chat: no app, no account, save +1 202 490 9133 and send it a sentence. The first 7 days are free and unlimited, then it is 4.99 dollars a month or 99 dollars once. To set the chase above, this link opens the chat with it already typed.
No app, no account. Save the number, send a message, done.
Frequently Asked Questions
How long does a landlord have to return a security deposit?
It depends entirely on where you rent, which is why it is the first thing to look up. California sets 21 calendar days from when you give up possession, within which the landlord must either return the deposit or send an itemised statement of deductions. A deposit protected under the England and Wales tenancy deposit schemes must be returned within 10 days of you both agreeing the amount, so a landlord who has not yet agreed anything is not yet late. Many jurisdictions set no statutory period at all, in which case your tenancy agreement, or a reasonable date you state yourself, is the deadline you work to.
Is WhatsApp a sensible way to ask for a deposit back?
It is the best way to reach a person quickly and a poor place to keep your only record. Use it for the first few messages, because they get read, then repeat the same text by email once a deadline has passed. Export the chat as a dated text file with its photos from the chat's own menu while it is still fresh, so the record survives a lost phone or a deleted thread.
What should I send on the day I hand the keys back?
A single message with the handover date and time, who or where the keys went to, your meter readings, and photographs of every room taken after cleaning. Dated photos of an empty property, sitting in a thread the other side also holds, settle more deduction arguments than anything you can write later. Ask in the same message for confirmation of receipt and a date for the refund.
How do I reply to a list of deductions I think is unfair?
Go line by line rather than rejecting the statement as a whole. Accept anything that is genuinely fair, ask for the invoice or quote behind anything expensive, and point to your own dated photographs for anything you believe was already there at handover. Then state your own figure and ask for the undisputed part to be paid immediately while the rest is settled. Accepting one item makes the ones you contest much harder to wave away.
What counts as normal wear and tear?
The distinction is between deterioration from ordinary living and damage from misuse or neglect, and the line sits in different places in different jurisdictions and tenancy agreements. Your strongest position is not an argument about the category but evidence about the timing: photographs from the day you moved in and the day you moved out, showing the same mark in both. That is why the handover photo set is worth ten minutes on a day when you have none to spare.
How many times should I chase before escalating?
Twice in the chat after the deadline, then move to a slower medium. The check on the deadline day is not a chase, it is a note that the date exists. The first real chase comes a few days later and lists every date. If that goes unanswered, the next step is the same text by email and post, because the formal process on the other side almost certainly does not read WhatsApp.
How do I make sure I do not miss the deadline?
Set the reminder on handover day, not later. Two dates matter: the deadline itself and three days after it, which is when the chase goes out. One sentence to a reminder service, for example 'remind me on 11 November at 9am to chase the agent about the deposit', is enough, and a note saved the same day keeps the handover date, the amount and the deadline in a place you can search when you need to list them.
