Project Management in WhatsApp: Organize Tasks Without a New App
Why Project Management Apps Don't Get Used
You installed Trello. You opened it twice. Now it lives in your app drawer, untouched, while your actual task list lives in WhatsApp messages, voice notes, and your own memory.
The problem isn't the tool — it's the context switch. Every time you need to log a task, you have to leave WhatsApp, open the project app, find the right board, and add the item. Three extra steps kill the habit.
NagMeLater's project feature removes all three steps. You stay in WhatsApp. You type one message. Your task is filed.
Tag a Task, Create a Project Instantly
Add a #project-name hashtag to any to-do:
• buy domain 📁 #website
No project setup needed. The tag is the project. As soon as you use it, it exists.
Add more tasks to the same project:
Then view the project:
1. buy domain
2. write homepage copy
3. upload logo
Complete with done [number].
When you complete the last task:
🎉 #website complete! All tasks done.
See All Your Projects at Once
Type projects or my projects to see the full overview:
• #website — 3 open
• #q3-launch — 2 open ✅ 5 done
• #health — 1 open
View tasks: project [name]
Each project shows how many tasks are open and how many you've completed. No setup, no configuration — just your work as it is.
Projects Don't Replace Your Todo List
Projects are a layer on top of your regular todo list — not separate from it. The same tasks appear in both places.
Type todos to see your full list — tagged tasks show their project label:
1. 🔲 buy domain (added today) 📁 #website
2. 🔲 call dentist (added 2d ago)
3. 🔲 write homepage copy (added today) 📁 #website
You can complete a task from the full list or from inside the project view — it syncs both ways because it's the same underlying task.
No project? Just add the task without a tag. It works exactly like before.
Projects Surface in Your Morning Briefing
If a tagged task has a due date and it's approaching, the morning briefing will surface it in the "Due soon" section:
📅 Today's reminders (1):
• 9:00 AM — Team standup
⏰ Due soon:
• write homepage copy (due tomorrow)
The briefing doesn't list all project tasks — that would be overwhelming. It only surfaces what's due soon, keeping the signal high.
Frequently Asked Questions
How do I create a project in NagMeLater?
Just add a #hashtag to any to-do: 'todo buy domain #website'. The project is created automatically the moment you first use the tag. No setup, no board creation, no account needed.
Can I add a task to multiple projects?
Currently each task can have one project tag. This keeps things simple — if a task genuinely belongs to two projects, it probably needs to be split into two tasks.
How do I see all tasks in a project?
Type 'project [name]' — for example 'project website'. This shows all open tasks tagged with #website, with any due dates shown.
Are projects free to use?
Yes. Project tagging is free for all users. The #tag syntax works on any to-do regardless of your plan.
What happens when I complete the last task in a project?
NagMeLater celebrates with a '🎉 #project complete!' message. If there are still tasks left in the project, it tells you how many are remaining so you can track progress.
